1. General Terms of Service

These Terms and Conditions govern the use of the Zolmeraa Events website located at https://zolmeraa.com/ and all event planning and entertainment services provided by Zolmeraa Events. By browsing the website, submitting an inquiry, requesting a quote, or entering into a service agreement with Zolmeraa Events, clients and visitors acknowledge that they have read, understood, and agree to be bound by these Terms and Conditions.

These terms apply to all services offered by Zolmeraa Events, including but not limited to casino-themed events, poker table experiences, roulette table installations, blackjack table entertainment, card lounge concepts, corporate entertainment, team building evenings, charity evenings, and luxury private celebrations.

If you do not agree with any part of these Terms and Conditions, you should refrain from using the website and from engaging Zolmeraa Events for event planning, styling, or entertainment services.

2. Service Scope and Eligibility

Zolmeraa Events provides curated event planning, styling, and entertainment services designed specifically for social functions within Canada. Typical engagements include corporate events, conferences, awards nights, holiday celebrations, networking evenings, private celebrations, weddings, anniversaries, birthdays, family gatherings, gala evenings, team building sessions, and charity evenings.

All services are offered subject to availability, geographical reach, and logistical feasibility as assessed by Zolmeraa Events. The company reserves the right to decline engagements that fall outside its service capabilities or ethical and safety standards.

Services are available exclusively to clients who are at least 18 years of age and who have the legal capacity to enter into binding agreements under the laws of their province or territory within Canada. By entering into a service agreement, the client represents and warrants that they meet these eligibility requirements and are acting either on their own behalf or as an authorized representative of a corporation or organization.

3. Booking Procedures and Confirmation

All casino-themed events, poker table experiences, roulette entertainment, blackjack table activations, card lounge setups, and related services must be booked through an initial consultation with Zolmeraa Events. This consultation may occur via email, phone, virtual meeting, or in-person discussion.

Following the consultation, Zolmeraa Events will prepare a tailored proposal or agreement summarizing the event concept, date, venue details (if known), scope of services, professional host requirements, equipment needs, décor styling, staffing levels, timelines, and estimated fees.

A booking is considered confirmed only when the client has:

• Reviewed and accepted the written proposal or agreement issued by Zolmeraa Events, and
• Signed the agreement in the format requested by Zolmeraa Events (physically or electronically), and
• Provided any required deposit as outlined in the agreement.

Upon confirmation, Zolmeraa Events will issue a booking confirmation or countersigned agreement summarizing the final event details, services to be delivered, and associated costs. Any changes requested after confirmation may be subject to revised pricing, updated terms, or availability constraints.

4. Payment Terms and Deposits

To secure a date and begin detailed planning, Zolmeraa Events requires a deposit payment as specified in the client agreement. The deposit amount, due date, and payment method will be documented in the proposal or contract. Until the deposit is received, dates and specific event elements remain subject to change or release.

The remaining balance for the event is payable prior to the event date, in accordance with the payment schedule included in the agreement. Zolmeraa Events may, at its discretion, suspend planning activities, staffing confirmations, or equipment reservations if payments are not received by the agreed deadlines.

Accepted payment methods, such as electronic transfer, credit card, or other arrangements, will be communicated to the client during the confirmation process. Additional fees, including rush charges, venue-related surcharges, or late change fees, will be clearly indicated if applicable.

All prices are quoted in Canadian dollars unless otherwise stated. Taxes, service charges, and any applicable regulatory fees will be itemized in the client agreement or invoices in accordance with Canadian law.

5. Cancellation and Refund Policy

Clients may cancel confirmed bookings by providing written notice to Zolmeraa Events using the contact details specified in their agreement or via the contact form on the website at /contact-us/. The effective date of cancellation is the date on which written notice is received by Zolmeraa Events.

Cancellations made more than thirty (30) days prior to the scheduled event date are eligible for a refund of the deposit, less any non-recoverable costs incurred by Zolmeraa Events and less administrative fees as detailed in the agreement.

Cancellations made within thirty (30) days of the scheduled event date may result in the full forfeiture of the deposit and may also incur additional fees, especially where Zolmeraa Events has already committed to venue-specific logistics, specialty décor, external performers, or additional staffing on behalf of the client. Specific cancellation fee structures and timelines will be outlined in each client agreement.

Rescheduling requests are subject to availability and may involve modification fees, updated pricing, or adjusted deposit terms. In scenarios where rescheduling is not possible, the cancellation provisions above will apply.

6. Venue and Equipment Responsibilities

Clients are responsible for selecting and securing an appropriate venue for their casino-themed event, corporate gathering, private celebration, or charity evening, unless venue sourcing is explicitly included as part of the services provided by Zolmeraa Events. The chosen venue must meet all safety, operational, and access requirements needed for the planned entertainment.

Clients must ensure that the venue offers adequate space, access points, loading facilities, power supply, lighting, climate control, and any necessary permissions for setup and operation of symbolic gaming equipment, poker tables, roulette tables, blackjack tables, card lounge areas, décor installations, and audio-visual elements.

Zolmeraa Events will manage the coordination, setup, and teardown of the entertainment equipment, professional event hosts, and themed décor as detailed in the service agreement. Clients are expected to cooperate with Zolmeraa Events and the venue to provide necessary access windows, setup times, and any security clearances required for staff and equipment.

Zolmeraa Events reserves the right to modify layouts or adjust equipment placement on-site if venue conditions, safety requirements, or guest flow considerations make the originally planned configuration impractical or unsafe.

7. Social Entertainment Compliance

Zolmeraa Events specializes in immersive, casino-themed entertainment experiences that are created solely for social enjoyment, interaction, and atmosphere. All activities delivered by Zolmeraa Events use symbolic gaming equipment and are designed as entertainment experiences only.

Under no circumstances do events produced, managed, or staffed by Zolmeraa Events involve gambling, betting, real-money gaming, financial stakes, or the awarding of cash prizes. Any points, tokens, or similar elements used during an event are purely symbolic and have no cash value and are not redeemable for money, goods, or services.

All casino-themed activities are intended to create a stylish and engaging environment for corporate entertainment, team building, charity evenings, weddings, private celebrations, and gala evenings. They are not offered, marketed, or operated as financial or gaming services.

Clients agree not to introduce or encourage gambling, betting, or real-money prize structures in connection with Zolmeraa Events' entertainment services. If Zolmeraa Events becomes aware that such activities are being introduced in a way that conflicts with this policy, the company may suspend or terminate services at its discretion, without obligation to provide a refund beyond what is required under applicable law or the client agreement.

8. Limitation of Liability and Indemnification

Zolmeraa Events will use reasonable care, skill, and professional standards to plan and deliver each event, including the coordination of symbolic gaming equipment, professional hosts, premium décor, and interactive experiences. However, certain risks and variables may fall outside the company’s control.

To the fullest extent permitted by applicable law, Zolmeraa Events is not liable for any direct, indirect, incidental, consequential, special, or exemplary damages arising out of or related to:

• Venue conditions, including but not limited to structural issues, power failures, access limitations, or safety hazards not created by Zolmeraa Events
• Force majeure events, such as natural disasters, extreme weather, public health emergencies, labour disputes, transportation interruptions, or governmental restrictions
• Actions or omissions of third parties, including venue staff, caterers, external entertainers, or guests
• Client decisions regarding event format, guest management, or venue selection

Clients agree to indemnify and hold harmless Zolmeraa Events, its owners, employees, contractors, and representatives from and against any claims, damages, losses, liabilities, costs, or expenses (including reasonable legal fees) arising from:

• Client breach of these Terms and Conditions or of any service agreement
• Client’s misuse of the website or misrepresentation of information during the planning process
• Failure to comply with applicable laws, regulations, or venue rules in relation to the event

Nothing in these Terms and Conditions is intended to limit or exclude any liability that cannot be limited or excluded under the laws of Canada or the relevant province or territory. If any provision is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
